Cancellation Policy

1. Introduction

This Cancellation Policy applies to all treks, climbs, day tours, and excursions booked through Travel Your Adventure. By booking, you confirm that you have read and accepted both the Booking Policy and these cancellation terms (see also our Terms & Conditions).
  • B2C Clients: Individual travelers booking directly.
  • B2B Agencies: Partner agencies booking services on behalf of clients.

2. Cancellation by Clients

B2C Clients

Refunds are calculated from the total tour cost excluding non-refundable fees (e.g., hotel deposits, Machu Picchu permits, transportation bookings, tickets) which are retained by the agency.

  • More than 60 days before departure: 100% refund (minus non-refundable fees).
  • 30–59 days before departure: 50% refund (non-refundable fees retained).
  • 15–29 days before departure: 25% refund (non-refundable fees retained).
  • Less than 15 days / No-show: 0% refund (non-refundable fees retained).

Note: Non-refundable fees vary between 10–30% of the booking, depending on third-party service costs.

B2B Agencies

Agencies must respect payment deadlines and final passenger list submissions as stated in the Booking Policy. Refunds follow these principles:

  • More than 60 days before arrival: 100% refund (minus non-refundable fees of 10–30%).
  • 30–59 days before arrival: 50% refund (non-refundable fees retained).
  • 15–29 days before arrival: 25% refund (non-refundable fees retained).
  • Less than 15 days / No-show: 0% refund (non-refundable fees retained).
  • Provisional bookings must be confirmed within 10 working days.
  • Final passenger list must be submitted 30 days before arrival.

Important: Non-refundable fees cover costs incurred by Travel Your Adventure, including hotels, permits, transport, tickets, and administration.

3. Cancellation by Travel Your Adventure

We reserve the right to cancel any trip due to:

  • Unsafe conditions (weather, strikes, political unrest, pandemics)
  • Insufficient participants
  • Force majeure events

In such cases, clients or agencies may choose:

  • Full refund of amounts paid (excluding non-refundable costs if applicable)
  • Reschedule to an alternative date (subject to availability)

Refunds are processed within 30 business days via the original payment method.

4. Force Majeure

Events outside our control, including but not limited to extreme weather, earthquakes, government restrictions, or health emergencies, may require cancellations.

Travel Your Adventure will provide:

  • Rescheduling at no extra cost
  • Partial refunds (excluding unrecoverable third-party costs)

5. Waiver of Liability / Acceptance

  • You have read, understood, and accepted all Booking & Cancellation Policies.
  • Travel Your Adventure is not responsible for losses, medical issues, or travel insurance coverage.
  • Clients are responsible for obtaining their own travel insurance.

6. How to Request a Cancellation

Clients and agencies must submit cancellations in writing via email or WhatsApp, including the booking reference and reason. Confirmation of receipt will be provided within 2 business days.

7. Effective Date

This policy applies to all bookings made from August 2025 onward.
